Job Description

Role Description The Operations Specialist is a full-time, hybrid role based in St. Petersburg, FL, with some flexibility for work from home on Mondays and Fridays. This role is responsible for supporting daily operational processes, including account setup and maintenance, documentation processing, data entry, and workflow tracking. The Operations Specialist will coordinate with advisors, custodians, and other partners to ensure accurate and timely execution of client transactions and service requests. Day-to-day tasks include monitoring operational deadlines, resolving discrepancies, maintaining client records, and supporting project implementation for process improvements and technology enhancements. The role also involves creating and refining procedures, assisting with reporting and quality control, and contributing to a consistent and efficient client service experience.

Qualifications

• Candidates should possess strong Analytical Skills, including attention to detail, problem-solving, and comfort working with financial data and systems.
• Candidates should possess effective Communication skills, including clear written and verbal communication and the ability to collaborate with internal teams and external partners.
• Candidates should possess foundational Sales support skills, such as assisting advisors with client onboarding, preparing materials, and facilitating a smooth client experience.
• Candidates should possess Operations Management skills, including managing workflows, ensuring process compliance, and maintaining accurate documentation and records.
• Candidates should possess Project Management skills, including organizing tasks, tracking timelines, and supporting the implementation of operational and technology initiatives.
• Relevant experience in financial services, wealth management, or a related professional services environment is beneficial.
• Proficiency with Microsoft Office (especially Excel and Word) and comfort learning new financial software and CRM systems is preferred.
• Ability to work both independently and as part of a team, manage multiple priorities, and uphold a high standard of integrity and client confidentiality.
